Emails

ioki Platform sends transactional and notification emails to passengers, operators, and administrators. This page inventories the emails the platform sends, when each one is triggered, and which name is shown as the brand.

For notifications delivered as push messages or SMS, see Notifications—that page also holds the message text for notification-type emails such as booking confirmations, generic notifications, and payment-failure messages. The sender name, sender address, and landing-page URLs are set in Email sender configuration, and delivery volumes per client are shown in Email deliveries.

How the brand name is shown

Two different names can appear in an email, depending on the email:

  • Provider display name. The provider Name, with the App display name in parentheses when it is set (for example, Example City (myapp)). If the App display name is empty, only the provider name is shown.
  • App name. The name of the app the ride or purchase belongs to. The platform uses the app’s own name and falls back to the provider’s App display name, and finally to the provider Name, when no app-specific name is available. Unlike the provider display name, this shows the app name on its own, without the provider name in parentheses.

Both are configured through the Company name provider settings.

Setting the App display name improves both variants: it appears in parentheses in the provider display name, and it is the fallback used for the app name.

Emails to passengers

Passenger emails are enabled per user segment. Their appearance follows the provider’s branding (logo and imprint); see branding for landing pages and imprint.

Only invoices, credit notes, the booking-suspension email, and the body of the payment-failure email use the standalone app name. All other subjects use the provider display name.

Emails to operators

Operator event emails are sent to the addresses configured as operator event targets. They are triggered by ride and task-list events:

  • New ride booked
  • Ride cancelled
  • Ride rematched within an operator
  • Ride added after rematching
  • Ride removed after rematching
  • Task list assigned to an operator
  • Task list reassigned within an operator
  • Task list dismissed from an operator

These emails show the provider display name.

Emails to administrators

Account and security emails are sent to administrators (operators) for their platform account:

  • Email confirmation instructions
  • Password reset instructions
  • Account unlock instructions
  • Email address changed
  • Password changed
  • Account already exists

These are platform account emails and do not carry provider branding.
