A vehicle planning is a plan of tasks for a single vehicle, and is synonymous with task list. For what a vehicle planning is, its lifecycle states, the task and pause models, and how it relates to matching, see Vehicle plannings in Platform.

View vehicle plannings
From the product overview in Control Center, select Vehicle plannings in the left sidebar. In this view, vehicle plannings are listed by date in tables containing the following information.

Occupancy diagram
A vehicle with 6 seats transports 8 passengers between 5:00 to 6:00 PM (8 passengers/hour). During this period, a maximum of 6 seats are occupied at a time. In the diagram, a utilization rate of 6/6 is marked in red (vehicle fully occupied). If the vehicle is not fully booked, the simultaneously occupied seats are displayed with a blue bar. Light gray bars indicate periods with no scheduled planning for the vehicle.
Search vehicle plannings
You can search vehicle plannings by Name and License plate.
Create a vehicle planning
Vehicle plannings can be created manually by selecting Create new, or imported in bulk by selecting Import, which opens ioki Data Bridge.
The form contains these fields.
- Vehicle
- Matching properties
- Ad hoc bookable. This only works if the corresponding setting is active for the product in Settings for prebooking and ad hoc booking.
- Prebookable. This only works if the corresponding setting is active for the product in Settings for prebooking and ad hoc booking.
- Matching rank
- Lead time settings, if the product feature lead time is activated
- Matching configuration
- Starts. Start date and time.
- Ends. End date and time.
- Service starts at. Start date and time for the scheduled service start. This optional timestamp must fall between the shift’s start and end times. If provided, it’s communicated as the official service start time instead of the shift’s
starts_at. - Service ends at. Start date and time for the planned end of service. This optional timestamp must fall between the shift’s start and end times. If provided, it’s communicated as the official service end time instead of the shift’s
ends_at. - Start location. Start place or station.
- End location (optional): End place or station. Once a vehicle planning has been created, the end location is locked and cannot be changed or removed. Removing or altering the end location after tasks have been planned can increase travel time or make the schedule infeasible. For this reason, the platform locks the end location once the task list is generated.
- State
- Auto repositioning strategy
- Line (optional), if the corresponding product feature is activated
- Custom tags (optional), if the product feature custom tags for task lists is activated. Enter tags as space-separated labels.
- Pauses (optional): Starts, Ends, Place (optional)
The default values for start place, end place, service time start, service time end, and matching configuration can be set in the product settings, Task List default properties.
Open the detailed view of a vehicle planning
To open the detailed view of a vehicle planning, select ⚙️ > Show in the dropdown menu. Alternatively, select its vehicle name in the table.
Edit a vehicle planning
To edit a vehicle planning, select ⚙️ > Edit in the dropdown menu. Make the desired changes and then select Save.
If the product feature custom tags for task lists is activated, the Custom tags field can be changed here. Saving this field replaces the complete set of custom tags for the vehicle planning.
One of the following flash messages is displayed.
- Vehicle planning was updated
- Could not update vehicle planning
- Feature not available
- Shortening of the task list affects active tasks: Displayed if a vehicle planning is shortened that conflicts with bookings that have already been made.
Assign vehicle planning to a new vehicle
To assign the vehicle planning to a new vehicle, select ⚙️ > Assign to new vehicle in the dropdown menu.
Rematch rides
In addition to rematching a ride to a different vehicle, you can rematch all rides in a vehicle planning at once. This allows operators to react to unplanned events such as a vehicle breakdown and automatically distribute rides across the remaining fleet.
To rematch rides for a given vehicle planning, select ⚙️ > Rematch rides in the dropdown menu. Selecting this option displays all rides or tasks booked on the respective vehicle planning. The journeys to be rescheduled can then be selected either individually or in bulk.
Rematching multiple rides of task lists is an expensive operation. Therefore, rematching is initiated by creating a rematching attempt.
If rematching is successful, the booked ride is automatically moved to the new vehicle planning.
Rematching a task list full of rides against a large vehicle fleet can have a long duration in products with complex conditions, filters, and pricing calculations.
The following options can influence rematching.
Preserve negotiated times. If checked, the rematching will only take place when the new solution can keep the initially communicated times for the passenger. If not checked, the rematching will first try to satisfy the former time constraints again, but if this does not work it will rematch even if the times change or get worse for the passenger.
Auto cancel failed matchings. If this option is checked, all rides that could not be rematched are canceled automatically at the end of the rematching run. This removes the need to cancel any remaining rides manually.
Auto cancel empty task list. If this option is checked and no active rides remain in the vehicle planning after rematching, the task list is canceled automatically and is no longer used in future matchings.
Recalculate vehicle planning
To recalculate a vehicle planning—that is, the Calculated Points of the tasks—select ⚙️ > Recalculate in the dropdown menu.
This function uses the planned positions but reroutes them based on current traffic information. This only changes the timings if the traffic situation has changed but does not alter the positions.
The task timings update as part of the recalculation, while the journey that holds the route is calculated separately in the background. Because of this, the updated route can take a moment to appear.
Add repositioning task to a vehicle planning
To add a repositioning task to a vehicle planning, select ⚙️ > Add repositioning task in the dropdown menu.
This option is available if the product feature vehicle repositioning is activated.
Adding a repositioning task creates an actual task in the driver’s task list. The timings entered here are requested timings. The final timings may differ after the task list is recalculated, depending on how many other tasks are already scheduled.
It can also be directly defined when importing the vehicle planning via a CSV file.
For automated repositioning tasks, all internal places with the place property <waiting position> from the places page are used as resources.
They will be selected as the strategically favorable location for repositioning, which either has the shortest distance in terms of linear distance or the shortest journey time.
The following options can be configured for automated vehicle repositioning:
- off. No automatic repositioning will take place.
- shortest air distance. The repositioning will order suitable places by airdistance and take the closest one.
- shortest routed duration. From nearby suitable repositioning places the one with the shortest approaching duration will be used.
View pauses of a vehicle planning
To view pauses for a vehicle planning, select ⚙️ > Pauses in the dropdown menu.
Create a new pause for a vehicle planning
To create a new pause for a vehicle planning, select ⚙️ > Create Pause in the dropdown menu.
View deactivations of a vehicle planning
To view deactivations for a vehicle planning, select ⚙️ > Deactivations in the dropdown menu.
Create a new deactivations for a vehicle planning
To create a new deactivation for a vehicle planning, select ⚙️ > Create Deactivations in the dropdown menu.
Delete a vehicle planning
To delete a vehicle planning, select ⚙️ > Delete in the dropdown menu.
This is only possible if it’s not active and if no rides are already booked on it.
It is also not possible to delete a vehicle planning if matching has already considered it as a candidate. Even if no ride has been matched into the vehicle planning yet, deletion is not allowed because precalculated matchings are linked to it. Instead, set its state to cancelled.
Is it possible to delete a current shift in Control Center?
No. The simplest way to deactivate an active vehicle planning is for the driver or an administrator to trigger a deactivation for the remaining time. Another option is to create a pause, although this is often not possible in a live environment, especially when the vehicle planning already contains tasks. A final, less clean option is to purge the vehicle planning by moving or canceling all existing tasks and then adjusting the vehicle planning so that it ends in the near future. In practice, spawning a deactivation is the usual approach.
Batch delete vehicle plannings
To batch delete vehicle plannings, select Enable batch delete to enter batch delete mode. Then select one or more vehicle plannings via the checkboxes in the leftmost column. Alternatively, you can select all vehicle plannings for an entire day by clicking the trash can symbol. Finally select Delete selected entries.
You can exit batch delete mode by selecting Disable batch delete.
