Permissions: read_task_lists, read_vehicles

Use Planning to review and manage shifts for the selected product. A shift is a vehicle planning entry with a vehicle, time range, and tasks.

View shifts

  1. In the sidebar, select Planning.
  2. Set the date range to show the shifts you want.
  3. Select a shift to view its details, assigned vehicle, tasks, and breaks.

Add a shift

Permissions: create_task_lists

  1. In Planning, select Add Shift.
  2. Assign a vehicle and set the time range and shift options.
  3. Select Save.

Review and edit a shift

  1. In Planning, open the shift.
  2. Use the tabs to review and edit it:
    • Settings. The assigned vehicle, time range, and shift options, such as whether the shift is ad hoc bookable and prebookable.
    • Rides. The rides currently planned on the shift, which you can filter by state.
    • Tasks. The shift’s tasks in order (pickups, drop-offs, breaks, and repositioning tasks).
    • Telemetry. Recorded vehicle telemetry for the shift, if the product supports it.
  3. Save your changes.

Which actions are available inside the detail view depends on your permissions for task lists, tasks, pauses, and related planning resources.

Set the matching configuration

A shift uses a matching configuration.

  1. In Planning, open the shift.
  2. Change the shift’s matching configuration.
  3. Save your changes to have the shift’s rides recalculated.

Manage tasks in a shift

The Tasks tab shows the shift’s planned tasks, scheduled breaks, and repositioning tasks. These entries define what the driver sees in ioki Vehicle App during the shift.

You can add scheduled repositioning tasks in advance and, from a task’s menu, accept, reject, complete, or cancel an individual task when needed.

Deactivate a shift

Deactivating a shift makes it temporarily unavailable for a defined time window without deleting it.

  1. In Planning, open the shift.
  2. Select Deactivate shift and set the time window.
  3. To make the shift available again, reactivate it.

Rematch rides

Permissions: update_rides

Rematching moves rides between shifts—for example, to rebalance load or to clear a shift you need to take out of service.

  1. Select the rides and the target shifts.
  2. Choose how to rematch them:
    • preserve the negotiated times, so passengers keep their promised pickup and drop-off times,
    • automatically cancel rides that cannot be rematched, and
    • automatically finish a shift once all its rides have been moved off it.
  3. Start the rematch, then review the summary that shows which rides were moved and which could not be, with the reason.

The rides you rematch must belong to active shifts in the current product. For the concept, see rematching attempts.

Delete a shift

Permissions: delete_task_lists

Deleting a shift can’t be undone.

  1. In Planning, open the shift you want to remove.
  2. Select Delete.
  3. Confirm the deletion.

Delete several shifts at once

Permissions: delete_task_lists

Deleting shifts can’t be undone.

  1. In Planning, select the shifts you want to remove.
  2. Select Delete.
  3. In the confirmation dialog, select Delete shifts to confirm. To keep the shifts, select Discard.

Import and export vehicle planning data
