Working with the data table
The Data tab shows the report as a table of rows and columns. This page describes the controls above the table, the filters, the table itself, and the empty states you may see. For how to open a report and read its info header, see Running a report. This documentation is written for the Extended Reporter role.
Table controls
A toolbar above the table holds the date range, the primary filters, the report filters, and the table actions.
- Date range. A start and end date field. The label above the fields names the date the report filters on, which differs from report to report. After you change the dates, select Refresh to reload the table.
- Primary filters. One or more dropdowns that appear next to the date range for the report’s most common filters, such as Products and Operators. See Primary filters.
- Refresh. Reloads the table with the current date range and filters.
- Edit columns. Opens a dialog to choose which columns are visible. See Choose columns.
- Filters. Opens a panel with the report’s other filters. See Filter the table.
- Export data. Starts an export of the current table. See Exporting data.
Primary filters
The report’s most common filters appear as dropdowns in the toolbar, next to the date range. Which dropdowns appear depends on the report.
- Products. Limits the table to the products you select. The dropdown label reads All products while it applies to every product.
- Operators. Limits the table to the operators you select. The dropdown label reads All operators while it applies to every operator.
Open a dropdown to see a checkbox for each option. Check the options you want, then select Refresh to reload the table. The dropdown label counts your selection, for example 1 product or 3 products. When no options are checked, the filter includes every option and the label shows the All wording again.
Each dropdown has two actions:
- Reset. Clears every checkbox in the dropdown, which returns the filter to include all options.
- Select all. Checks every option in the dropdown.
An empty selection and a full selection have the same effect, so both include every option. Use Reset when you want to keep only a few options, then check just those. Use Select all when you want almost every option, then clear the few you want to leave out.
Choose columns
Select Edit columns to open a dialog that lists every column the report offers, each with a checkbox. Check a column to show it and clear it to hide it.
- Reset. Restores the report’s default column selection.
- Apply. Applies your column choices to the table and closes the dialog.
Filter the table
Select Filters to open a panel of collapsible filters. This panel holds the report’s filters other than the primary filters in the toolbar. The filters available depend on the report. Each filter you open shows its own controls, and every filter has its own Reset and Apply actions.
- Date-range filters. A From and To field to limit a date column to a range. These filters also offer an Include rows without data option, which keeps rows that have no value for that column.
- Checkbox filters. A list of checkboxes to include only rows that match the values you choose.
- Text search. A text field to search a column for matching text.
Read the table
The table lists the report rows below the toolbar.
- Sorting. Select a column header to sort by that column. Select it again to reverse the sort direction.
- Pagination. When a report returns many rows, the table is split into pages. Use the pagination controls below the table to move between pages.
Cell types
Cells are formatted to match the kind of data they hold, including text, dates, times, numbers, money amounts, percentages, durations, distances, and yes or no values. Two cell types have extra behavior:
- ID cells. Select an ID cell to open a menu with a Copy action that copies the value to the clipboard. When the ID links to a related page, the menu also offers a link to open that page.
- Link cells. Cells that link to a related page open that page when selected.
KPI summary
Some reports define key performance indicators. For those reports, a summary of the KPIs appears above the table, so you see the headline figures for the current range and filters before you read the rows.
Empty states
When the table has no rows, ioki Reporting shows a “No data available” message. The explanation depends on why the table is empty:
- No data yet. If the report has not produced any data for the chosen range, the message notes that data may still be generating and asks you to come back later.
- No data for the filters. If your filters exclude every row, the message notes that no data matches the chosen filter criteria. Adjust or reset your filters to see rows again.
